Automated dashboard

Business dashboards and automated reporting for small businesses

Sales, quotes, invoices, website traffic: your numbers are scattered across several tools, often in a spreadsheet someone fills in by hand. I bring them together in a single dashboard that updates itself. My name is Tristan Tacule, and from La Louvière, I build these dashboards remotely for small businesses across Belgium.

Remote, anywhere in Belgium · from €390 excl. VAT · free quote, with no obligation.

Why a dashboard

What a dashboard changes for a small business

In many small businesses, the numbers exist, but pulling them together takes time. An automated dashboard puts them in front of you, every day, in one place.

All your numbers in one place

Your online store, CRM, invoicing software, and spreadsheets feed a single screen, instead of having you juggle between apps.

No more copy-paste

The numbers arrive on their own. No more Monday mornings spent copying exports, and no more copy errors in your totals.

The same numbers for the whole team

Owner, sales reps, accountant: everyone sees the same up-to-date version, and only what concerns them.

Spot problems sooner

A late invoice, dwindling stock, slowing inquiries: a metric you see every day gets noticed long before the end-of-month review.

A dashboard doesn’t replace your software: it reads it. You keep your tools and your habits; only the reporting becomes automatic.

Examples

Dashboard examples by industry

Sample setups to give you ideas: your dashboard tracks your own metrics, the ones you already watch or have always wanted to follow.

Retail and online stores

A shop that sells in store and online can track:

  • Revenue for the day, month, and year
  • Average order value and best-selling products
  • Products about to run out of stock
  • Online sales compared with in-store sales

Possible sources Online store, point of sale, inventory spreadsheet

Trades and service businesses

A construction or repair business can track:

  • Inquiries received and quotes sent
  • Quotes signed and win rate
  • Jobs in progress and to schedule
  • Invoices awaiting payment

Possible sources Website form, CRM, invoicing software

Accounting or consulting firms

An accounting firm can track:

  • Open files by team member
  • This month’s deadlines
  • Time spent per client
  • Fees invoiced and collected

Possible sources Practice management software, timesheet, shared calendar

Website and lead generation

A small business that relies on its website to find customers can track:

  • Website visits and most-read pages
  • Google searches that lead to the site
  • Contact requests by source
  • Share of inquiries that became customers

Possible sources Google Analytics, Google Search Console, CRM

Your dashboard can mix these families of metrics. The number of sources and metrics included in the package is listed below, under what’s included.

How it works

How automated reporting works

Three steps, always the same: connect your sources, prepare the numbers, then display and share them.

Connect your sources

The dashboard plugs into your tools through their connectors: Google Sheets, Google Analytics, Search Console, MySQL or PostgreSQL databases, CSV files. For software without a connector, I go through its API or an automatic export.

Prepare the numbers

Customer names, dates, and amounts aren’t written the same way from one tool to the next. I standardize them and calculate your metrics once and for all, so the total on screen is the right one.

Display and share

Charts, comparison with the previous month, filters by period or by sales rep: the dashboard opens in the browser, on a computer or a smartphone, and is shared with the people you choose.

Looker Studio or Metabase?

The choice depends on where your data lives, not on a technical preference.

Looker Studio

Google’s tool. The right choice if you already use Gmail, Google Sheets, or Google Analytics, or if your numbers are in spreadsheets.

  • Free in its standard version
  • Tied to your Google account: nothing to host
  • Shared like a Google document
  • Many connectors, including those for Google tools

Metabase

An open-source tool that connects directly to a database. The right choice if your numbers are already in one (your website, your application, a custom CRM) or if you’d rather not go through Google.

  • Free, open-source version
  • Installed on your server, or hosted by me for a quoted price
  • One account and set of permissions per user
  • Reads your data directly from the database

Pricing

What’s included, and at what price

A package with a scope written in advance: you know what you pay and what you get.

Good to know

These services are for businesses (companies, self-employed professionals, nonprofits). Each package includes one round of adjustments after delivery and 30 days of fixes. Anything beyond that, or outside the scope, is quoted at €50 excl. VAT per hour. Third-party costs (AI usage, licenses) are in your name and billed to you directly by those services.

Hosting: nothing to host with Looker Studio, since the dashboard lives in your Google account. Metabase is installed on your server if you have one; otherwise, I host it for a quoted price, with a GDPR data processing agreement.

Source without a connector: the automation that fetches its numbers is priced in the quote. Like all my automations, it then runs on my server.

Monthly care plan: €29 excl. VAT per month per client, cancel any month. All your automations, AI, and chatbot run on my server for that one price; I monitor them, fix them if a connected service changes, and handle small tweaks.

Prices exclude VAT. Services for professionals: businesses, independent professionals, and nonprofits. My services are billed through Productions Associées asbl (VAT BE 0896.755.397).

Process

How the setup works

Four steps, entirely remote: at every stage, you know what’s done and what’s left to do.

  1. Step 1: Free discovery call

You tell me which numbers you look at today, where they live, and what you’d like to see at a glance. By video call (Google Meet) or by phone.

    Free, no obligation

  2. Step 2: Detailed quote

You receive the list of metrics, connected sources, and the chosen tool, with the price excl. VAT and the timeline. Nothing starts without your approval.

    Price set before we start

  3. Step 3: Build and review

I connect your sources, prepare the numbers, and show you a first version. You check the totals against numbers you already know.

    Estimated timeline: 1 week

  4. Step 4: Delivery

The dashboard is shared with the people you choose, and I explain what each metric shows. The adjustments included in the package follow your first weeks of use.

Experience

Data already flowing between my tools

I’m a full-stack PHP developer, and connecting tools is part of my daily work: I sync data between several websites through APIs, write automation bots (Playwright) that download and transform exports, connect applications with webhooks, and n8n workflows I built are running in production.

I’ve already set up CRMs and dashboards, and I manage the servers they run on. So software without a connector often has a solution: an API, a scheduled export, or, as a last resort, a bot.

A dashboard is only useful if its numbers are right: before delivery, we check its totals against numbers you already know.

FAQ

Questions about business dashboards

Looker Studio pricing, privacy, sharing, Excel files, updates: answers to the questions I’m asked before a first dashboard.

Is Looker Studio really free?

Yes. The standard version of Looker Studio is free with a Google account and works well for a small business dashboard. Looker Studio Pro, the paid version, mainly adds company-wide report management and support; if you choose it, the license is paid directly to Google, in your name. A few connectors offered by third-party companies are paid: I’ll let you know before using them. Metabase also comes in a free, open-source version, which you install on a server.

Where does my data stay?

In your tools, right where it is today. Looker Studio reads it to display the dashboard (Google keeps a temporary copy to load it faster), and the report is tied to your Google account: you remain its owner. Metabase runs on your server, or on mine for a quoted price, in which case we sign a data processing agreement (GDPR). The access you give me to build the dashboard can be revoked at any time.

Who can see the dashboard?

Only the people you choose. A Looker Studio dashboard is shared like a Google document, by email address, with view-only or edit access; with Google Workspace, it can be restricted to your company’s accounts. Viewers can see the numbers without accessing the source files, and each person can see only what concerns them (their own sales, for example). In Metabase, each person has their own account and permissions.

My numbers are in Excel. Can that work?

Yes, a spreadsheet is a source like any other. The simplest option is to move it to Google Sheets, which Looker Studio reads directly. If it has to stay where it is (on OneDrive or SharePoint, for example), an automatic sync copies its data at regular intervals; we include it in the quote. The only condition: the file keeps the same layout, with the same columns and the same tabs.

How often does the dashboard update?

On its own, at each source’s pace. In Looker Studio, data freshness is set source by source, typically from every 15 minutes to every few hours depending on the connector, and a button refreshes the dashboard on demand. Metabase queries your database when the dashboard opens. A synced source follows the schedule we set together, for example every hour or every night.
