Artificial intelligence

AI integration for small businesses in Belgium

Sorting your email, reading your invoices, drafting your replies: I connect artificial intelligence to the tools you already use, and your team stays in control of what matters. I’m Tristan Tacule: from my base in La Louvière, I integrate AI remotely for small businesses across Belgium.

For small businesses

What AI actually changes for a small business

AI doesn’t replace your team: it takes on the reading, the sorting, and the first draft. You still need to know what it does well, and what it does poorly.

What it does poorly

  • Making things up confidently when information is missing.
  • Knowing your prices or stock levels without being told.
  • Deciding on its own what commits your business.
  • Getting calculations exactly right: those stay with your software.

Hence my rule: AI prepares, a person approves what matters. A drafted reply waits in your drafts folder, and nothing goes to a customer without your go-ahead.

Examples

AI in business: examples by industry

Typical examples to show what’s possible; your own case takes shape on the discovery call.

Sorting the inbox

Every incoming email is read, sorted, and forwarded to the right person, with a two-line summary.

For example A construction company can separate quote requests, invoices, and job-site questions.

Reading invoices

Supplier, date, amounts, and VAT are extracted from the PDF and placed in your spreadsheet or software, ready to check.

For example An accounting firm can prepare the bookkeeping for documents its clients send in.

Drafting replies

AI writes a draft based on the request and your usual wording; you review it, then send.

For example A real estate agency can reply faster to viewing requests.

Qualifying website inquiries

Each inquiry from your contact form is summarized, categorized, and added to your CRM.

For example A service company can see which inquiries to call back first.

Replying in Dutch or English

The message is translated for you, and the reply is drafted in the customer’s language, ready to review before sending.

For example A business working in both Wallonia and Flanders can reply in both languages.

Summarizing long documents

A specification or a report is summarized in a few points, so you know where to focus.

For example An engineering firm can see faster what a call for tenders requires.

How it works

How AI connects to your tools

No need to switch software: AI becomes one step in an automation, between the tool the information comes from and the one it needs to reach.

  1. Step 1: A trigger

An email arrives, a file is dropped in a folder, a form is submitted: the automation starts on its own.

  2. Step 2: The AI step

Only the relevant text goes to the AI provider, with clear instructions: what to look for, how to sort, what tone to use.

  3. Step 3: The result, where you work

It lands where you already work: your inbox, a spreadsheet, your CRM, or your invoicing software.

  4. Step 4: Your approval

Anything that commits your business waits for your go-ahead. If a technical error occurs, an email alert goes out automatically.

Software talks to other software through its API, an access point built for exchanging data; most common tools have one, and we check yours together. Your task doesn’t need AI? A simple automation is sometimes enough, and it costs less.

Data and costs

Your data and your costs stay under control

Handing emails or invoices to an AI raises real questions. Here are my answers, from day one.

A European provider option

Depending on the task, Mistral AI (France, hosting in the European Union) or a major US provider.

Only what’s needed

Only the data the task needs is sent, through business access set up so your data isn’t used to train models, which we check together.

A spending cap

AI usage is billed to you by the provider, based on volume, with a cap set at the amount you choose.

A data processing agreement

Everything runs on my server, included in the monthly care plan, with a GDPR data processing agreement.

Already have your own server? Everything can be installed there, priced on quote. And if an AI talks directly with your customers, the EU regulation on AI (the “AI Act”) requires it to identify itself as an AI: that’s what the AI chatbot I offer does.

Pricing

AI integration: what’s included

A package with a written scope, for a first task handed over to AI.

After delivery: monthly care plan

Monthly care plan: €29 excl. VAT per month per client, cancel any month. All your automations, AI, and chatbot run on my server for that one price; I monitor them, fix them if a connected service changes, and handle small tweaks.

You get the results, with no access to any technical tool. If you stop the care plan, the automation stops on my server; installing it on your own server is still possible, priced on quote.

The monthly care plan in detail

Prices exclude VAT. My services are billed through Productions Associées asbl (VAT BE 0896.755.397).

Process

Your AI integration project, step by step

At every step, you know what’s being done, what it costs, and when it will be ready.

  1. Step 1: Free discovery call

We look at the task, your tools, and your data. If AI adds nothing, I’ll tell you.

    Free, with no obligation

  2. Step 2: Quote and provider

Scope, price, and timeline in writing. Your account with the AI provider is opened in your name, with a cap.

    Price set before we start

  3. Step 3: Build and testing

The automation is tested on your real examples, and its instructions are adjusted based on the results.

    Estimated timeline: 1–2 weeks

  4. Step 4: Go-live

It runs on my server, with an alert if something fails and a user guide for you.

Care plan: €29 excl. VAT per month

Experience

AI and automation, already in production

I’m a freelance web developer, and this isn’t new to me: AI is already connected through APIs in real projects I’ve built, and n8n workflows I’ve set up are running in production.

  • Data synced across several websites through APIs.
  • Apps connected through webhooks (one piece of software notifies another as soon as something happens).
  • Automation bots (Playwright) for tools without an API.
  • Administration of the servers all of this runs on.

When an AI step isn’t enough, I write the missing code.

FAQ

Questions about AI in business

Data, costs, mistakes, tools, provider: what people ask me before integrating AI.

Have another question? Check the frequently asked questions or call +32 456 96 02 13.

Is my data used to train the AI?

Not if the access is chosen carefully: I work through business access (APIs), and together we check the chosen provider’s terms and settings (paid plan, option turned off) so your data isn’t used to train its models. Only the information the task needs is sent, nothing is used without your consent, and a GDPR data processing agreement covers the processing.

How much does AI cost to use?

Setup is a package, from €499 excl. VAT. AI usage is billed by the provider, in your name, based on the volume processed (the number and length of texts), so there’s no single price. We estimate the order of magnitude together, and a spending cap is set with the provider. The monthly care plan (€29 excl. VAT per month) covers the server and monitoring.

Can AI make mistakes?

Yes: it can misfile a message, misread a number, or state something false with confidence. That’s why a person approves everything that matters, and the automation is tested on your real examples before it goes live.

Do I need to change my tools to use AI?

No. AI connects to the tools you already use: email (Microsoft 365, Google Workspace…), CRM, invoicing software, a shared folder, or a spreadsheet. The tool just needs to offer some form of access (API, email, or file export). If it doesn’t, a bot that repeats your usual steps is sometimes possible: we check this on the discovery call.

Which AI provider should I choose?

It depends on the task and on how sensitive your data is. I work with Mistral AI, a French company that offers hosting in the European Union, and with major US providers such as OpenAI or Anthropic. The account is in your name, with a spending cap, and switching providers later doesn’t mean rebuilding everything.

What task would you like to hand over to AI?

Describe it in a few lines: I’ll get back to you to talk it over, then send you a detailed quote.

Helpful to include

  • The repetitive task and how much time it takes your team.
  • The tools involved: email, CRM, invoicing, spreadsheet…
  • The approximate volume: emails per day, invoices per month.
  • Any constraints you have around your data.

Would you rather talk it through?
